We have an exciting opportunity for a Site Administrator to join our Team at the Ruskington site!

Successful candidate will support the day-to-day operation of the reception desk and act as the ‘face’ of the business, creating a great workplace environment for our visitors & colleagues and provide administration support to HR and Senior Leadership Team.

Hours of work will be mainly 8:00am – 3:00pm Monday to Wednesday (Part Time) however flexibility is required.

Main responsibilities:

  • Meet and greet visitors to the Site ensuring all relevant technical and health and safety documentation is completed. Contact the department to inform them of arrival.
  • Manage the visitor registration process and provide and record access cards appropriately.
  • Managing the switchboard and dealing with basic enquiries.
  • Collect incoming post and inform departments of small deliveries. Redirect large deliveries to correct department.
  • Ensure all outgoing post is stamped and posted accordingly, arranging courier services if appropriate. 
  • Proactively manage the reception phone and email inboxes, responding in timely manner.
  • Monitor and maintain office stationery supplies, keeping an inventory of stock. Raise purchase orders and keep log of all office expenditure.
  • Oversee the coordination of the meeting room and hot desk booking system appropriately.
  • Support the relevant department when meetings / events / training take place, liaising with the canteen and arranging hospitality.
  • Providing guidance and support for employees on travel related matters including booking travel where needed.
  • Manage and record Lockers, providing new lockers to New Starters and Leavers are returning Site equipment.
  • To ensure that all notice boards and digital signage is up to date weekly.
  • To support the HR Advisor in ensuring we deliver on employee engagement initiatives appropriately.
  • To support the HR Advisor with wellbeing initiatives.
  • To collate and draft site communications appropriately.
  • To provide a minuting service for SLT meetings like the Colleague Forum etc.

To be successful you will need previous experience in similar role, have excellent communication skills, be flexible and have strong time management skills. You must be able to multitask and work well under pressure. Good IT skills and proficiency in use of Microsoft Office Package (Outlook, Word, Excel) is essential.
